Thank you for booking your stall with us! We are excited to have you a part of our event. We will be in touch with all the information you need.

*Terms and Conditions

APPLICATIONS:

All applications must be made via the application form.

BIG recommends that bookings are made promptly, BIG cannot allocate a pitch until the booking form and payment is received.

BIG reserves the right to refuse any application without given reason and no agreement will be concluded until an application has been accepted by the company in writing.

The supply of the application form does not constitute an offer of space.

The application form must be completed with all the relevant details filled.

The submission of an application form constitutes an acceptance of these terms and conditions.

All pitches are sized accordingly to the venue, if you have already discussed your pitch with BIG, this will be added once your booking and payment has been made.

The total cost of the event will be individually priced based upon size and location of stall.

Set-up details, times and pitch location will be confirmed upon receipt of booking and payment.​

​Full Marketing must been done by you on Facebook, Instagram or any other social media platforms.

This will help promote the event in which you will be attending. 

SPACE ALLOCATION

Space is allocated on the sole discretion of BIG.

BIG reserves the right to determine and at any reasonable time prior to the event, change the location of an exhibitors space.

Trading hours of the show day, please do not dismantle your trade stand before finishing time.

 NO TABLES OR CHAIRS ARE PROVIDED UNLESS BOOKED.

 PLEASE REMEMBER TO BRING YOUR OWN GAZEBO.

GROUNDS RULES
 

  • No Electric or Lighting will be supplied.

  • Naked flames are prohibited, 

  • No Flooring will be supplied at an outdoor event.                        ​​

  • Unloading access will be within walking distance to the pitch.

  • Stall holder car parking will be allocated on the day.

  • Quad bikes, all-terrain vehicles or similar multi-terrain vehicles are not permitted on the grounds.

OPEN STAND SPACE

Exhibitors may only apply for open stand space with a minimum frontage of 3m.

Any application for Open stand space greater than 3m depth will be granted in the company's absolute discretion.

Exhibitors must keep their stand and equipment within the frontage reserved.

BIG will not be liable for any exhibitors failure to reserve sufficient open stand space.

OPTIONAL EXTRAS

Optional extras must be paid in full when the application form is submitted to  BIG and subject to payment will be delivered to the exhibitors space.

BIG cannot guarantee tables and chairs will be available to hire on site without prior booking.

USE OF SPACE

The sharing of space with another exhibitor is not permitted unless prior agreement with BIG.

The products and services provided by the exhibitor in the space must conform to the details provided on the application form.

Please be aware that some stalls are located upstairs (the lift to the Tapestry Suite)

Exhibitors must comply with the requirements of the fire brigade, environmental officers and any other competent authority and any statutes, regulations or bye laws relating to the site or its use.

Exhibitors will be responsible for the conduct of all personnel authorised to be on their space.

In the event the company reasonably concludes that the behaviour of an. exhibitor, a member of its stall, its agents or contractors is unacceptable.  The exhibitor will be required to leave the site an will not be entitled to any refund or any charge made by the company.

Exhibitors must not occupy any part of the site other than the space allocated to them.

Subletting of space is not permitted unless specifically authorised in writing by BIG.

All gazebos/marquees  erected on behalf of any exhibitor must fit with the frontage and the depth allocated.  If gazebos/marquees do not fit within the allocated space, BIG reserves the right to refuse these to be erected and or levy additional meterage charges.

No PA systems are permitted without prior written permission from BIG.

 

PROHIBITIONS

No illegal material may be displayed by any exhibitor and BIG reserves the right to remove such material and/or require the exhibitor to leave the site without refund of any charge made by BIG.

No Raffles, lotteries or games of chance will be permitted unless specifically authorised in writing by BIG.

No electric generators will be permitted.

No posters, banners, displays or advertising matter shall be put up anywhere other than within the space allocated to the exhibitor unless specifically authorised by BIG.

The exhibitor must not leave any litter or cause any pollution to any parts of the site.

PASSES

All exhibitors will need to display booking confirmation document to enter the event on set up and on show days.

HEALTH & SAFETY

All exhibitors must comply with the current health and safety legislation and all guidance notes and codes of practice published by the health and safety executive.

No vehicle movements are permitted within the show site between 11am - 4pm.

INSURANCE

All exhibitors must have public liability insurance of at least £2 million.

BIG shall accept no responsibility for any loss or damage to any exhibitors property, however caused.

PAYMENTS

All Cheques should be made payable to British Info Group.

Payment in full for both the space and any optional extras must be received before the space is reserved.

Signing of this document form is a legal binding agreement and once received by BIG full payment is due.

A signed application form entitles BIG to receive full payment due for the space as per the front of the application form.

CANCELLATIONS

All cancellations must be made in writing and sent by email to: info@britishinfogroup.co.uk.

If written cancellation is received by BIG 12 weeks before the event date, any payment or payments due to be made will be returned to the exhibitor subject to a cancellation fee of 50% of the total payment made.

Exhibitors withdrawing within 12 weeks before the event date will not be entitled to any refund.

FORCE MAJEURE

A "Force Majeure Event" means any event which is not within BIG's control, including (but not limited to):

  1. Acts of God, floods, drought, earthquake or other natural disaster.

  2. Epidemic or pandemic (including COVID-19 pandemic and any reoccurrence of the same);

  3. Terrorist attack, civil war, commotion or riots, war, threat of or preparation of war, or armed conflict.

  4. Nuclear, chemical or biological contamination or sonic boom.

  5. Any law or any action taken b y a government or public authority, including without limitations imposing and import or export restriction, quota or prohibition or failing to grant a necessary licence or consent.

  6. Collapse of buildings, fire explosion or accident and any law statute regulation code or guidance (whether or not it has legal effect)  from time to time in a force, in place or announced in the UK which renders the taking place of the event due to the COVID-19 pandemic (or any other epidemic or pandemic that may arise now or in the future).

  7. A breach of contradictory to ir inconsistent with such law, state regulation, code or guidance (whether or not it has legal effect).

If BIG cancels the event as a result of a Force Majeure Event, provided it notifies the exhibitor in writing as soon as reasonably practicable that the event is cancelled, the company shall have no liability (what so ever) to the exhibitor for any liabilities, costs, expenses, damages and losses (including but not limited to any direct, indirect or consequential losses, loss of profit and/or loss of reputation) suffered or incurred by the exhibitor arising out of or in connection with the cancellation of the event.

If the event is cancelled by BIG under this clause, the exhibitor shall have no right to any refund of any amount paid by BIG to the exhibitor under this agreement, but shall have the right to (free of charge) transfer its booking, if the event is rescheduled to a new date.

LIABILITY

In the case that the event or any part of the event, is postponed or abandoned or cancelled due to circumstances within BIG's control, BIG's liability will be limited to the sums paid to BIG by the exhibitor.

The exhibitor shall indemnify BIG against all costs, charges, losses, expenses, actions, proceedings or claims arising out to any infringement of the right of any third party, or damage or injury to any property or person whatsoever occasioned directly or indirectly by the act, default or negligence of the exhibitor or its staff or contractors.

The exhibitor shall indemnify BIG against any claim, losses, costs or expenses incurred whatsoever directly or indirectly.

BOOKING 

Set-up details, times and pitch location will be confirmed upon receipt of booking and payment.

Stallholders should sell only those items that have been listed on the booking form. 

If either party (organiser/exhibitor) is unable to perform its obligations under this contract, by way of being prevented or delayed in performing those obligations by an event or adverse weather or similar, or by acts of God; no refunds will be given.
